Job Description:

 

The Database Manager is a full time, salaried position responsible for the processing and acknowledgement of contributions and pledges through the Paciolan system and the accuracy, accessibility and cleanliness of the database of contributors, former contributors and prospects. This position is an essential part of the development department involved in the building of related database campaign planning, solicitations, special events and individual, foundation and corporate giving.

 

ESSENTIAL DUTIES AND RESPONSIBILITIES

 

  • Manage Cincinnati Ballet’s patron and prospective database in collaboration with Development staff to accomplish department projects and objectives.
  • Code and enter all charitable gift transactions to the organization.
  • Draft and send patron acknowledgements, tribute letters and general correspondence.
  • Work with finance director for reports, deposits and audits.
  • Create specialized reporting, contact lists and list gathering functions as needed for development and other departments.
  • Set standards for database procedures and documentation of such with Director of Development.
  • Communicate with donors regarding their donations and pledges as needed.
  • Generate all development invoices.
  • Ensure and assist with the accuracy of all database changes made by Development and other staff.
  • Correct and adjust incorrect data fields through continuous review of database.
  • Identify and merge duplicate records in partnership with functional areas.
  • Prepare weekly reports including contribution, solicitation and campaign reports.
  • Prepare recognition lists for media such as Playbill, websites and other outlets.
  • Create and propose process improvements.
  • Train development and other staff in database usage.
  • Maintain and help to organize all patron and prospective paperwork.
  • Supervise and train interns and volunteers to assist in database management as assigned.
  • Other duties may be assigned as deemed necessary.

 

EDUCATION/EXPERIENCE :

 

Computer skills – word processing and spreadsheet functions as well as database management and processing experience necessary.  Must be able to demonstrate excellent written and verbal communication skills.  Some accounting/financial experience preferred. Experience in database system Paciolan a strong plus.  Strong organizational skills and the ability to handle a variety of tasks at one time.

Strong time management skills necessary. Excellent attention to detail and accuracy. Must be able to demonstrate good relationship building skills and work as a positive and effective team player.

 

SCHEDULE:

 

Regular full time business hours will be discussed with some flexibility available, with additional irregular working hours including some evenings and weekend work revolving around projects, performances and special events required.
