    Job Description
    CATHOLIC CHARITIES OF SOUTHWESTERN OHIO
     
    POSITION TITLE:              Intake Specialist
    DEPARTMENT:                Immigration Legal Services
    REPORTS TO:                   Director, Immigration Legal Services                     
    WORK HOURS:                19 hours/week
    SUPERVSISION:               No
    WORK LOCATION:          Cincinnati OH                  
    FLSA STATUS:                   Non-Exempt     
     
     
    Position Summary:         The Intake Specialist’s primary function is to assist potential clients with applying for agency services through the Immigration Legal Services Department at Catholic Charities of Southwestern Ohio.
     
    Essential Job Functions:
     
    1. Manages ILS intake hotline by reviewing voicemail messages, adding call data to the Hotline Tracking Report, and returning calls or forwarding messages to appropriate individuals, as-needed.
    2. Conducts intake with potential clients by assisting potential clients in completing the Application for Services.
    3. Provides referrals to other departments within Catholic Charities and to outside agencies and law offices, as-needed.
    4. Enters potential client information accurately into the intake form and submits the completed information to the ILS Director.
    5. Maintains records to ensure accurate reporting of data on potential clients seeking services for grant reporting.
    6. Updates intake reports when case acceptance decisions are made by ILS Director.
    7. Updates intake reports when legal service fee waivers are granted by ILS Director.
    8. Provides clerical support by creating physical files for cases accepted for legal services and distributing physical files to ILS advocates assigned to the respective case.
    9. May serve as interpreter when language skills are applicable for case services.
    10. Conforms with and abides by all regulations, policies, work procedures and instructions.
    11. Maintains confidentiality and appropriately handles sensitive information in compliance with legal ethical standards.
    12. Other duties as assigned.
     
    Supervisory Responsibilities:  None
     
    Qualifications and Skills Requirements:
    1. High School Diploma or Equivalent and two years working in human services and an office environment.
    2. Superior computer skills including knowledge of Excel (create spreadsheets, sort, drop down menus, formulas, look up tables, etc.) and/or another database. Ability to sort and file document alphabetically and numerically.
    3. Ability to maintain confidential nature of the position.
    4. Must be accurate, detail oriented and organized.
    5. Must have good time management skills.
    6. Must possess superior listening skills and be patient.
    7. Must read, write and speak English and Spanish fluently.
    8. Demonstrated ability to work with partners and groups.
    9. Excellent communication skills, organizational, and facilitation abilities.
    10. Experience working with the population preferred.

    Work Environment:
    Typical office environment, with minimal exposure to excessive noise or adverse environmental issues.

    Must be able to meet the following physical requirements, with or without reasonable accommodation:
