    CATHOLIC CHARITIES OF SOUTHWESTERN OHIO
     
    POSITION TITLE:              Bilingual Intake Specialist
    DEPARTMENT:                Immigration Legal Services
    REPORTS TO:                   ILS Director (direct) & Safe Release Support Specialist Supervisor         (secondary)
    WORK HOURS:                37.5 hours per week
    SUPERVISION:               No
    WORK LOCATION:          MidPointe, Cincinnati OH                          
    FLSA STATUS:                   Non-Exempt     
     
       
    Position Summary:         The Intake Specialist’s primary function is to assist potential clients with applying for agency services through the Immigration Legal Services Department at Catholic Charities of Southwestern Ohio. The Intake Specialist will also perform a supporting role for the administration of the Safe Release Support Program.
     
    Essential Job Functions:
     
    1. Provides welcome and initial reception to clients, volunteers, and other visitors to the seventh floor of the Catholic Charities offices located at Mid-Pointe Tower.
    2. Directs clients, volunteers, and other visitors to appropriate program, service, and/or individual staff person in conformity with the standard practices of the agency.
    3. Refers clients and volunteers to the appropriate program, service, and/or individual staff person in conformity with the standard practices of the agency.
    4. Schedules volunteer coverage for the seventh floor reception window.
    5. Trains volunteers scheduled to cover the seventh floor reception window.
    6. Manages volunteers assigned to provide coverage at the seventh floor reception window.
    7. Manages ILS intake hotline by reviewing voicemail messages, adding call data to the Hotline Tracking Report, and returning calls or forwarding messages to appropriate individuals, as-needed.
    8. Conducts intake with potential clients by assisting potential clients in completing the Application for Services.
    9. Provides referrals to other departments within Catholic Charities and to outside agencies and law offices, as-needed.
    10. Enters potential client information accurately into the intake form and submits the completed information to the ILS Director.
    11. Maintains records to ensure accurate reporting of data on potential clients seeking services.
    12. Updates intake reports when case acceptance decisions are made by ILS Director.
    13. Provides clerical support by creating physical files for cases accepted for legal services and distributing physical files to ILS advocates assigned to the respective case.
    14. May serve as interpreter when language skills are applicable for case services.
    15. Conforms with and abides by all regulations, policies, work procedures and instructions.
    16. Maintains confidentiality and appropriately handles sensitive information in compliance with the standards for professional responsibility of the legal profession.
    17. Communicates by email and telephone with caseworkers contacting the Safe Release Support program to schedule fingerprint appointments for potential sponsors of unaccompanied immigrant children.
    18. Manages the calendar of the Safe Release Support Specialists.
    19. Inputs data into the Safe Release Support program portals managed by the U.S. Department of Health and Human Services and Lutheran Immigrant and Refugee Services.
    20. Other duties as assigned.

    Qualifications and Skills Requirements:
    1. High School Diploma or Equivalent and two years working in human services and an office environment.
    2. Superior computer skills including knowledge of Excel (create spreadsheets, sort, drop down menus, formulas, look up tables, etc.) and/or another database. Ability to sort and file document alphabetically and numerically.
    3. Ability to maintain confidential nature of the position.
    4. Must be accurate, detail-oriented, and organized.
    5. Must have good time management skills.
    6. Must possess superior listening skills and be patient.
    7. Must read, write, and speak in English and Spanish fluently.
    8. Demonstrated ability to work with partners and groups, especially individuals from various cultural backgrounds.
    9. Excellent communication skills, organizational, and facilitation abilities.
    10. Experience working with the population preferred.
    11. Superior customer service skills.
